Who this policy covers
Dispatch AI Agents ("Dispatch", "we", "us") is an outreach service based in Santa Monica, California. We run researched, permission-respecting outreach on behalf of our clients, who are business brokers, M&A advisors, commercial real estate firms, managed IT providers, and similar professional firms.
That means we handle information about two distinct groups:
- Visitors and clients. People who visit this website, contact us, book a demo, or become a Dispatch client.
- Business owners we contact on a client's behalf. If you received an email from one of our clients that was sent through Dispatch, this section is the one that applies to you.
You can opt out at any time, and we honor it immediately and permanently. Reply to the message and say so, use the unsubscribe link, or write to eric@dispatchagents.com. You do not have to give a reason, and you do not need an account to make the request.
Information we collect
From visitors and clients
- Name and contact information
- Company, role, and market or sector information
- Email address and phone number
- Information you send us directly, such as the content of an email or a demo booking
- Basic website usage data, described under Cookies and analytics below
About business owners we contact for a client
To run a campaign we assemble a prospect record for each business owner. That record is built from publicly available sources, and typically contains:
- Name, role, and business name
- Business contact details, including a business email address
- Publicly recorded business information, such as licensing filings, formation and permit records, public notices, industry association and conference listings, and professional directories
- Whether a message was delivered, and any reply you send back
We do not buy prospect lists, and we do not guess at contact details. If we cannot verify a business email address against a public source, we do not send to it. We do not knowingly collect personal information about consumers in a personal capacity, special categories of personal data, or information about children.
How we use information
- To provide, operate, and improve the Dispatch service
- To research a prospective business and write outreach that is specific to that business
- To send outreach on behalf of a client, under that client's name, with that client's approval
- To route replies to the client and report on campaign activity
- To communicate with you about our services, including responding when you contact us
- To maintain security, prevent abuse, and meet our legal obligations
We do not use prospect information to build or sell any general-purpose marketing list, and we do not reuse one client's prospect relationships for another client's campaign.
Legal basis for outreach
Our outreach is business-to-business: we contact people in their professional capacity, at their business address, about a matter relevant to the business they run.
Where the GDPR or UK GDPR applies, we rely on legitimate interests for this processing, balanced against the recipient's rights and expectations, and we stop immediately on request. Where consent is the required basis in a given jurisdiction, we rely on consent instead. Our outreach is designed to comply with the US CAN-SPAM Act, Canada's CASL, and the GDPR, including honest sender identification, a valid physical address, and a working opt-out in every message.
Sharing information
We do not sell, rent, or trade personal information.
We share information only in these circumstances:
- With the client running the campaign. If you reply to an outreach email, your reply and your prospect record go to that client. They are the party you are in a conversation with.
- With service providers who operate our infrastructure, such as email delivery, hosting, and customer relationship tools. They may process information only to provide services to us, and are bound to protect it.
- Where the law requires it, or to establish, exercise, or defend a legal claim.
- In connection with a business transfer, such as a merger or acquisition, subject to this policy.
How long we keep information
We keep prospect records for as long as a campaign is active, and for a reasonable period afterward so that we can honor suppression requests and avoid re-contacting someone who asked us not to. When someone opts out, we retain the minimum record needed to keep them suppressed permanently, which is the only reliable way to guarantee we do not contact them again.
Client and business records are kept as long as needed for the relationship and for legal, tax, and accounting requirements.
Your rights and choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate
- Delete information, subject to our need to keep opt-out records
- Object to or restrict processing, including our outreach
- Receive a copy of your information in a portable format
- Opt out at any time, without giving a reason
California residents have rights under the CCPA and CPRA, including the right to know, delete, and correct, and the right to opt out of sale or sharing. We do not sell or share personal information as those terms are defined under California law. We will not discriminate against you for exercising any right.
To make a request, write to eric@dispatchagents.com. We will respond within the time the applicable law requires. We may need to verify your identity first, and we will only ask for what is necessary to do that.
Data security
We use appropriate technical and organizational measures to protect information against unauthorized access, alteration, disclosure, and destruction, including access controls and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
International transfers
We operate from the United States, and information we process is handled there. If you are located outside the United States, transferring your information to us means it is processed in a country whose data protection laws may differ from your own. Where required, we put appropriate safeguards in place for those transfers.
Changes to this policy
We may update this policy from time to time. When we do, we will change the "last updated" date at the top of this page. If a change is material, we will take reasonable steps to tell affected people directly.
